Thank you for being a part of Learning Links’ Psychology program. Please see below for full terms and conditions of the program.


Fees are payable for each session at Learning Links and must be paid at the time of service. Fees cannot fall into arrears. Cancelled sessions cannot be made up at a later date. This is necessary as staff time and resources have been allocated based on your child’s regular attendance.

Fees must be paid each session for the full period of enrolment. Outstanding balances owed from previous sessions must be paid prior to any further payments for your child to continue in the program. Each payment made will be applied to the oldest outstanding amount.

If your fees remain unpaid your child’s enrolment will be discontinued.

Payment Methods

Preferred payment methods are Direct Debit or Eftpos.

  • For Direct Debit a separate form must be completed
  • For sessions held at schools and online, payment must be via Direct Debit only.

Other options we may agree to are:

  • Bank Transfers – use (Account Name: Learning Links, BSB: 032261, Account No: 100946, Child’s name as reference)

An Invoice will be provided after receipt of a payment, upon request.

Payment Difficulties

Clients are required to contact the Psychology Manager immediately if they are experiencing difficulty with the payment of fees. If your account is in arrears by two (2) weeks, your child’s continued enrolment with Learning Links will be jeopardised.


Services delivered by Registered Psychologist

  • HICAPS is available at our locations for claiming Medicare rebates if you are using a Mental Health Care Plan (MHCP). HICAPS can also be used for Private Health Fund claims. You are advised to check with your private health insurance provider if you are planning to claim a rebate.
  • If using a Mental Health Care Plan (MHCP) issued by a doctor, this must be brought to your first session in order for the Medicare rebate to be processed. If the MHCP is not available at your appointment, then the full fee for the session applies with no rebate.
  • We are unable to process Medicare rebates unless you attend our office in person. We will provide a receipt that enables you to claim through the Medicare App or your private health insurance.

Services delivered by Provisional Psychologist

  • Medicare and Private Health Insurance cannot be claimed for counselling with Provisional Psychologists.

Please note: Missed appointments cannot be claimed from Medicare or Private Health Funds.

Cancellation Fees and Absences

If you are unable to attend your booked session for any reason, a cancellation fee may apply.

Cancellation and absence fees apply to:

  • Services at our Learning Links’ centres
  • Individual services delivered at your child’s school
  • Online Services

For online sessions, if you or your child are not present in the session, the professional will attempt to contact you for the first 15 minutes of the session and if there is no attendance, the standard cancellation fees will apply.

In the event there are technology difficulties prior to or during the session from either party, the professional will contact parents/carers via the telephone and complete the session. Standard charges will still apply.

Bulk Billed appointments

  • For Bulk Billed appointments, if more than 24 hours’ notice of an absence is given then no cancellation fee will apply. If less than 24 hours’ notice of an absence is given, a $35 cancellation fee will apply.

Privately paid appointments

  • For appointments paid directly by the client, if more than 24 hours’ notice of an absence is given then no cancellation fee will apply. If less than 24 hours’ notice of an absence is given, the full fee will be charged.

Regular non-attendance

Learning Links aims to provide support to as many children as possible. Regular, consistent attendance is important for each child’s progress and it ensures our professionals do not have appointments available that could be given to others seeking services.

  • If you miss four (4) or more appointments, for any reason, during a six (6) month period, we may need to place you back on our waitlist until you are able to regularly attend the appointments. This allows us to provide support to other children who are currently on our waitlist.
  • In the event of two (2) consecutive absences without notice of cancellation, unfortunately all future appointments will be cancelled and you will be exited from the service.

Please note: Missed or cancelled appointments cannot be claimed from Medicare or Private Health Funds.

Third Party Debt Collection Fees

In the event of the Customer being in default of their obligation to pay outstanding fees, the overdue account is then referred to a debt collection agency, and/or law firm for collection. All fees incurred by Learning Links for collection of the debt will be referred to the Customer. The Customer shall be liable to pay as a liquidated debt the commission payable by the Supplier for all collection fees and or commissions.

Telehealth Services (Video or Telephone)

Clients must have the following technology/environment in order to participate in online services:

  • Access to a laptop or desktop computer – iPads can be used but have limited functionality
  • A webcam and microphone
  • A stable internet connection (hotspots to mobile phones are generally not stable)
  • A quiet room/space

In agreeing to online services clients must:

  • Not rely on Learning Links to have or provide any technical information regarding Zoom.
  • Adhere to all agreements made with the professional in delivering the online service to the child.
  • Be physically present and available to support and/or participate in the online service with their child.
  • Provide written consent for a child 12 years and over to attend online services independently in the home environment. This cannot occur until written consent is received by Learning Links.
  • Maintain confidentiality and not share their Zoom appointment link or password with anyone unauthorised to attend the appointment.
  • Ensure unauthorised persons do not physically attend and/or participate in the online service.
  • Not engage in offensive, abusive, threatening or unlawful behaviour while receiving online services.
  • Not record, screenshot or copy images during live video without written consent from Learning Links.
  • Be aware that there are potential risks to this technology, including interruptions, unauthorised access, and technical difficulties and Learning Links cannot guarantee total protection.
  • Be aware that standard cancellation fees apply to online/telehealth services.

In providing online services, Learning Links ensures that:

  • We access secure platforms including end to end encryption for online services to maintain client confidentiality and privacy.
  • Staff adhere to Learning Links’ Privacy Policy at all times.
  • Staff delivering services online have the required level of skills and knowledge.
  • Equipment is set up in a way that ensures effective delivery of online services.
  • Staff do not record, screenshot or copy images during live video without written consent from the client.
  • We take all steps to maintain the confidentiality and privacy of online services and advise clients of any confidentiality concerns limited by the level of security of the technology.

Leaving the Service

48 hours written notice must be given to exit services. If 48 hours’ notice is not provided, standard cancellation fees will apply.
